NEXT Canada is seeking an organized, diligent and professional administrator to join our growing team. This key role will be the first person that our employees, board, ventures, alumni, and donors meet when they enter our office.

 

Should you be selected for this role, you will have the primary responsibility for managing the office space including developing and maintaining controls and policies. You will support the CEO on a daily basis to ensure that their schedule is optimized for impact with internal and external stakeholders, and play a key role in ensuring action against our commitments. Finally, you thrive in a lean environment where all members of the team adopt a sleeves rolled up attitude.

 

Scope of Responsibilities include:

 

Manage the CEO’s schedule, a project priorities

Track progress on key projects and book appropriate time for CEO to complete tasks
Book external and internal meetings, and resolve scheduling conflicts
Proactively revise schedules, as required
Meet with the development team on a weekly basis to ensure notes from all meetings have been input into Salesforce
Assists the CEO & Director of Finance and Operations

Take minutes of meetings and track action items
Arrange travel and accommodations, as required
Creates draft correspondence on behalf of CEO
Perform other clerical duties such as filing to ensure smooth operation of the CEO office
Order catering for VIP events and meetings
Ensure technical setup in advance of conference calls etc
Manage the Office Space

Greet guests, and provide direction
Answer, screen and forward incoming phone calls
Ensure all public and meeting spaces are tidy and presentable
Manage inventory of office supplies and other business inventory
Receive, sort, and distribute daily mail/ deliveries for NEXT Canada
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Ensure room setup and take down for VIP meetings
Requirements:

Experience in an assistant role reporting directly to senior management
Superb written and verbal communication skills
Strong time-management skills and the ability to organize and coordinate multiple projects
Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge and a fast-paced environment
Ability to maintain a high level of discretion and confidentiality
Excellent interpersonal skills and a proven track record for being a strong team player
Proficiency in Microsoft Office, Google applications and other office productivity tools
Experience working in a CRM environment (Salesforce preferred)
Pay and Benefits

NEXT Canada offers a competitive compensation, RRSP, and benefits package.
Salary Band: $44,818 – $67,227 (Hiring Target: $47,000 – $50,000)
Additional Information

Please note that this is an in-office role with opportunities to work from home occasionally.

In addition, this role may require travel at the expense of NEXT Canada as well as occasional work outside of office hours for events.
